Information we collect

When you submit a Request More Information form, we collect the information you provide, including your name, email address, phone number, mailing address, city/state, postcode, country, and enquiry message.

We also record the date and time of your submission, the referral source if you arrived via a referral link, and whether you selected the optional community-worker follow-up checkbox.

We collect this information directly from you through the form.

Why we collect and use your information

We collect and use your information to respond to your property enquiry, provide additional property information, discuss your interest and potential next steps, maintain enquiry records, and meet any applicable legal obligations.

Providing information is voluntary. However, if you do not provide the contact information needed to respond, we may be unable to provide the requested property information or continue with your enquiry.

When we share your information

We do not sell your personal information. We share it only in the following circumstances.

Optional community-worker follow-up. If you arrived using a referral link provided by a Bolthole social-media community worker and you actively select the optional worker-follow-up checkbox, we may send your enquiry to that specific worker so they can assist with follow-up. If you do not select the checkbox, that worker will not receive your enquiry through this process.

Licensed real estate agency. If your enquiry progresses and a licensed real estate agency is proposed to assist, we will identify that agency to you and seek your permission before referring your contact details and relevant enquiry information to it.

Service providers. We use WordPress, eForm, email services, and Google reCAPTCHA to operate and protect the website and enquiry form. These providers may process information needed to provide their services on our behalf or to protect the form from abuse.

Legal or safety reasons. We may disclose information where required or authorised by law, or where reasonably necessary to protect rights, property, or safety.

Google reCAPTCHA and website security

Our enquiry form uses Google reCAPTCHA to help prevent spam and automated abuse. reCAPTCHA may process technical and browser information, including an IP address and browser/device information, and may set the _GRECAPTCHA cookie for risk analysis. Google’s Privacy Policy and Terms of Service apply to its use of reCAPTCHA.

How we protect your information

We take reasonable steps to protect personal information against loss, unauthorised access, use, modification, disclosure, and other misuse. Information is held in our website form system, email systems, and related owner-controlled records.

How long we keep it

If an enquiry does not result in a property transaction, we will delete or anonymise personal information 12 months after our last meaningful contact with you.

If an enquiry leads to a transaction, formal agency referral, or a live dispute, we may retain relevant records for longer where reasonably necessary for the transaction, legal obligations, or dispute resolution.

Your access and correction rights

You may ask whether we hold personal information about you, request access to it, and ask us to correct it if you believe it is inaccurate. Please email 48arcb@bolthole.nz with your request.
